The service

Crewnum provides weekly team trivia delivered by email. Crewnum sells seats — capacity for a team — monthly or annually, cancellable anytime. Teams of 5 people or fewer pay nothing and need no card. Current pricing is on the pricing page.

Your content

Members own the facts, photos, video and audio they submit, and grant Crewnum a license to display them to their team — and, where the member's sharing switch is on, to the leagues and Summits their team has joined. Don't upload content that is unlawful, harassing, or that you don't have the right to share.

Using Crewnum

Crewnum is for your own team, with colleagues who agreed to be in it. Seats are a capacity number, not a lock: a team that outgrows its seats keeps playing, with nothing blocked and no member ever emailed about it. The owner sees it as a line in their own weekly quiz email and a banner on their admin page. We may suspend or end an account used to harm people or to disrupt the service for others.

Billing

Seats are sold in packs, billed monthly or annually, and renew automatically at the same interval until cancelled. Adding a member to a team is a database action, never a billing event: it only ever touches the seat pool you've already paid for, and never charges a card by itself.

Buying seats for the first time charges immediately, for a full pack. Buying more seats later follows one rule: if your subscription's renewal is more than a month away, the new pack is charged today, prorated for the rest of the period; if renewal is within a month, the new pack is free until then and bills at full price from the next renewal. Coverage from an added pack is always immediate either way — only the timing of the charge changes.

Cancellation and refunds

Cancel anytime from your billing page. Seats are prepaid against a fixed renewal date, so removing seats credits the unused remainder against your next invoice — it is never refunded, and we never claw back seats you've already paid for mid-cycle.

If a payment fails

Nothing freezes. If we can't take payment, your teams keep playing and new members can keep joining for 180 days while we retry and remind you. Anyone can settle the bill and clear it — a payer, a delegate, or a teammate stepping in.

If 180 days pass with no working payment, the billing room is torn down. Teams at or under the free threshold (5 people) land on the free plan automatically — nothing is lost. Teams larger than that are permanently deleted: every member, fact, photo, video and quiz history for that team is removed and cannot be recovered. This is a real consequence of an unpaid bill, not a formality, so we say it here plainly and warn affected people well before it happens.

Liability

The service is provided "as is". Our total liability is limited to the fees you paid in the last 12 months. Nothing in these terms excludes, restricts or modifies any guarantee, right or remedy you have under the Australian Consumer Law that cannot lawfully be excluded. Questions go through our contact form.

Governing law

Crewnum is operated from Australia. Your currency is set at your first checkout and stays fixed for that subscription. These terms are governed by the laws of Victoria, Australia, whose courts have exclusive jurisdiction over any dispute arising from them.

Changes to these terms

We may update these terms as the service changes. We'll update the date at the top of this page when we do; continuing to use Crewnum after a change means you accept the new terms.
